Policy

Introduction

As part of the day-to-day running of our business, we collect and process personal data from a variety of sources. This personal information is collated in several different formats including letters, emails, legal documents, operations records, images and statements. The personal data is stored both as a hard copy and in electronic form. 

 

Aims of the policy 

Our business will ensure that the personal data that we hold is kept secure and that it is held for no longer than is necessary for the purposes for which it is being processed. In addition, we will retain the minimum amount of information to fulfil our statutory obligations and the provision of goods or/and services – as required by data protection legislation, including the General Data Protection Regulation (GDPR). 

 

Retention

This retention policy (along with its schedule), is a tool used to assist us in making decisions on whether a particular document should be retained or disposed of. In addition, it takes account of the context within which the personal data is being processed and our business practices.

Decisions around retention and disposal are to be taken in accordance with this policy. 

As and when the retention period for a specific document has expired, a review is always to be carried out prior to the disposal of the document. This does not have to be time-consuming or complex. If a decision is reached to dispose of a document, careful consideration is to be given to the method of disposal.

Matthew Maney is responsible for keeping this retention schedule up to date in order to reflect changing business needs, new legislation, changing perceptions of risk management and new priorities for our business.

Matthew Maney is responsible for determining (in accordance with this Policy) whether to retain or dispose of specific documents.

Matthew Maney may delegate the operational aspect of this function to Abigail Bradbury

Abigail Bradbury should inform Matthew Maney if there is any doubt about the minimum retention periods or if the retention of a document is necessary for a potential claim. 

 

Disposal

Our business must ensure that personal data is securely disposed of when it is no longer needed. This will reduce the risk that it will become inaccurate, out of date or irrelevant.

The methods of disposal are to be appropriate to the nature and sensitivity of the documents concerned and include: 

  • Non-Confidential records: place in waste paper bin for disposal 
  • Confidential records: shred documents 
  • Deletion of Computer Records
  • Transmission of records to an external body 
  • Cloud storage

The table below contains the retention period that we have assigned to each type of record. This will be adhered to wherever possible, although it is recognised that there may be exceptional circumstances which require documents to be kept for either shorter or longer periods. 

Exceptional circumstances should be reported to Matthew Maney without delay.

Dance Class Terms & Conditions 

1) Payment Policy

We request payment in advance. No refunds are given when not in attendance.

In some circumstances an agreement may be reached to pay a refund; however, you will still be committing to pay for the full amount at booking.

Dance Classes: Places are only secured once full payment has been made. No refunds apply to all workshops unless it’s cancelled by AMTP LTD due to a fault on the company’s behalf.

Cancellation of Classes: If classes are cancelled due to the fault of the company, fees will be refunded. This will be done as soon as possible following a cancelled class. We will not be financially liable for classes or dates cancelled due to events beyond our reasonable control. We retain the right to change the advertised program of classes in the event of illness or other circumstances beyond our control such as bad weather.

2) Lateness Policy

Participants are expected to arrive on time. Dance is a physical activity that requires the body to be warmed up to execute movement safely. Late Participants miss the proper warm-up and therefore may sustain an injury. Participants who arrive more than 10 minutes late may be asked to observe the class for reasons of health and safety or will not be able to participate until they have performed an individual warm up.

3) Behaviour Policy

During sessions, Participants are expected to behave in a polite manner. They are expected to listen, and we discourage unnecessary talking. If a Participant is causing disruption to others’ learning, they may be asked to leave the class.

Any unacceptable behaviour from participants will not be tolerated. Unacceptable behaviour by participants may result in exclusion from current and/or further activities. 

4) Anti-Bullying Policy

AMTP LTD recognise that every participant has the right to enjoy a life free from bullying; therefore, we will always take seriously all allegations of bullying and are committed to deal with it effectively when it does happen. We will always endeavour to work with participants to prevent it from happening.

5) Health and Safety

AMTP LTD take seriously their responsibility to ensure the health and safety of all participants and teachers; and takes appropriate measures to make sure the environment is safe for all.

AMTP LTD will undertake regular risk assessments regarding premises hired and any concerns will be raised with the providers.

Dance is as an active engagement as any sport, and whilst every effort is made to avoid them, injuries can happen. AMTP LTD accepts no responsibility for injuries sustained via any means other than an instructor’s negligence.

6) Appropriate Physical Contact Policy

Teaching dance is a physical activity and appropriate physical contact between participants and instructors in class in essential to training. AMTP LTD recognise that such physical contact is a potentially complex area, and the company also fully recognises its responsibilities for safeguarding participants and teachers and for protecting their welfare.

The following principles and procedures are in place to fulfil the company’s obligations:

a. Contact by the Instructor is made with a particular awareness of the needs of everyone to assist the dancer in correcting placement.

b. All Instructor will treat any physical contact with due sensitivity and care, and with due regard for the wishes of the participant.

c. Contact will not involve force or the use of any instrument.

d. Participants are encouraged to discuss any worries with any member of AMTP staff.

f. Both participants and instructors should feel free to report any concerns to the designated safeguarding lead, Matthew Maney.

7) Media Use Rights Permission

We ask parents/guardians & participants to grant permission for AMTP LTD to take photographs and videos of the Participants. No personal information is ever used or linked to the photographs.

We ask for full rights to use the images resulting from the photography/video filming, and any reproductions or adaptations of the images for fundraising, publicity or other purposes to help achieve the company’s aims. This might include (but is not limited to), the right to use them in their printed and online publicity, social media, press releases and funding applications.

8) Safeguarding

Our prime responsibility is the welfare and well-being of all Participants in our care. As such we believe that we have a duty to the children and participants and staff to act quickly and responsibly in any instance that may come to our attention.

All staff and volunteers employed directly by AMTP LTD will be DBS Checked before the commencement of their employment, first aid trained and covered under AMTP LTD. Should an Instructor not have full DBS clearance they will not be left alone with minors.

AMTP LTD will not disclose your contact information to third parties except where the law allows or requires, or where you have given permission to do so.  We may from time to time contact you individually about other carefully selected AMTP LTD services or productions which we think may be of interest to you.

AMTP LTD reserves the right to change these terms and conditions at any time for the benefit of the business, staff or participants.
